Add team users and set permissions

Give each person on your team their own login instead of sharing yours. Everyone signs in as themselves, you decide what each person can see and change, and their sign-ins show up clearly on the Security Center page.

Add a team member

  1. Open the Users page and click Add User.
  2. Fill in Login Details. Enter their email and a password. The rules are shown under the box: at least 12 characters, with a capital letter, a small letter, a number and a special character, and not containing their name or the first part of their email.
  3. Fill in Personal. Add their name, and if you like their position, phone and Slack.
  4. Set Permissions. See below.
  5. Click Save. They can then sign in with the email and password you set.

The first time they sign in, they set up two-step sign-in on their own phone. They can put it off for 3 days from their first prompt, so ask them to do it straight away.

Choose what they can do

  • Full Access: they can see and do everything in STK except your Details, Billing and Subscription Status, which stay with the account holder. Untick it to set access area by area.
  • View: they can look at that area but not change it.
  • Edit: they can make changes in that area.
  • KPIs ticks: the Orders, Finance Activity and Reimbursements rows each have their own KPIs tick. Leave it off to let someone work on a page without seeing its sales, profit or totals.
  • Update Prices: this sits with Inventory. It also lets them use Set Max Order Quantity, because both change your Amazon listing.

For example, you might give a VA View on Orders and Inventory, with no Edit anywhere.

Change or remove someone

  • Edit: click the Edit icon on their card to change their details or permissions.
  • Blocked: tick this on the Permissions tab to suspend someone straight away without deleting them. It suits a seasonal helper, because you can turn them back on later.
  • Delete: click the Delete icon on their card to remove them.

Team member passwords and phones

Team members don't change their own password, and Forgot Password? only works for the account holder's login. You set a new one with Edit. Passwords expire after 365 days, and a team member's card shows when theirs expires or has expired.

If a team member gets a new phone, they can move it over themselves from Sign-in Security in Settings, if they have the Settings permission. If not, use the reset below. If they've lost it, they can use I've lost my phone on the sign-in page.

The account holder can also reset it for them. Click the Reset two-step sign-in icon on their card and enter your own current 6-digit code. Their old password then stops working, so click Edit and give them a new one. They set up their authenticator again at their next sign-in.

Can't add or edit users?

Managing users is a permission too. If the controls are missing or greyed out, your login doesn't have Edit rights for Users. Ask someone with Full Access to give you permission, or to make the change for you.
